This manual will instruct on grouping items and exporting / combining sales order
Overview
Occasionally a customer will submit multiple orders mostly due to web cart limitations. When such an occurrence happens we must group items and combine sales orders. The following will guide you through the steps required to export / import and group items.
Restrictions
- Do not combine orders from different accounts.
- Do not combine orders that need to ship to different addresses.
Requirements
- Netsuite Account
- Correct Permissions to:
- Netsuite CSV import - ‘Sales Order - Import Large Orders’
- Saved Search - ‘Sales Order Export for CSV Import-Sorted on Sale Last’
- Microsoft Excel
Locating and Exporting Sales Orders
- Type ‘Sales Order Export for CSV Import’’ into the search bar. Click on the search.
- From within the search click on ‘Edit this Search’

- Set the Document filter to the sales orders in which you wish to export and combine. Notice that you will need to use an expression with an ‘Or’ operator to return all applicable sales orders

- Once you have identified and confirmed items on the sales order click on the CSV icon to export information.

- Save the file in an easy to find and convenient location so as to be imported later in the process.
Grouping Items
- Items will need to be grouped in the order in which they were requested. If no grouping information is provided use the default grouping option below along with the order in which they appear. All groupings can be created using the ‘Brand’, ‘Oty Pricing’ and ‘On Sale’ columns within your export CSV.
- Promotional Items
- Non sale / non branded items
- Non sale / branded items (Pulsar, Shire, etc)
- Qty Pricing
- On Sale
- The following steps assume the grouping will be based on the default grouping listed above. However if a different type of grouping is requested the following steps can be used to create any additional groupings / ordering of items you like.
- Within your sheet create a tab for each grouping type and rename the original tab ‘Main List’. Cut and paste the information in the order below. Or from left to right starting with the ‘Promotional Items’ tab.

- Promotional Items - Locate Column O (Promotion). If a promotion is listed then you will need to locate any items where a discount line appears directly below it. Cut and paste items into the ‘Promotional Items’ tab. Remove discount lines / amounts.

- On Sale - Sort Column M (On Sale) from Z - A. Cut and paste all items marked yes into the ‘On Sale’ tab
- Once items have been pasted, sort on column N (Qty Pricing) from Z - A.
- Non Sale / Branded - Apply filter on Column L (Brand) and filter on in house branded items. Cut and paste all items into the ‘Non Sale - Branded ‘ tab.
House Brands = Pulsar, SeshGear, Grindhouse, Herbal Chef, ThreadHeads, Crud Bud, Shire Pipes,Phoenix Rising, LighterPick and Pulsar LOTR. - Non Sale / Non Branded - Apply filter on Column L (Brand) and filter out any in house branded items. Cut and paste all items into the ‘Non Sale - Non Brand’ tab.
- You should have now cut and pasted every item from the ‘Main List’ tab into its corresponding grouping tab. You will now need to add items back into the ‘Main List’ using the order listed in step 1. Or the order in which it was requested.
- Once all items have been added back into ‘Main List’ delete the remaining grouping tabs and save file.
Creating Sales Order & Import File
- Within Netsuite go to Transactions > Sales > Enter Sales Order
- On the sales order screen enter the customer name for whom you are combining orders.
- Before saving the order make sure the ‘To Be E-Mailed’ box is unchecked.

- On the item sublist enter ‘MISC - Sales Order Item’ and click add.
- Calculate shipping and save.
- Locate the file you previously exported and grouped.
- The following fields will need to be confirmed / populated with the following information.
- Sales Order ID - Delete and replace column A (Internal ID) with ‘Sales Order ID’. This will need to be the Internal ID of the sales order in which you mean to import the items into. You can find information by going into the sales order and viewing within the URL bar at the top of your browser. Copy and paste for each item being added.


- Item ID - Confirm that each SKU has an ID associated with it.

- Price Level - WHSE, Custom, Preferred, etc. on the original sales order.
- Item Quantity - Quantity ordered on original sales order.
- Item Price - Price on original sales order.
- Source - Role and location associated with this transaction.
- Your sheet should now resemble the following and is ready to be imported.

Importing Items Into Sales Order
- Navigate to Setup > Import/Export > Saved CSV Imports

- Locate “Sales Order - Import Large Orders ” and click on it.
- Locate the CSV file with items that need to be imported.

- Click Next.
- Verify the Import Options are set to UPDATE. Click Next.

- Verify the Field Mapping is set correctly. Click Next

- Locate the Save & Run button. Hover over the down arrow and select Run.

- Click on the Import Job Status link to verify the import was successful.

- Once the CSV Import is successful, the Sales Order will have been populated with items, pricing, quantities and their associated groupings.
- Remove the ‘MISC - Sales Order Item’ and save.
- Email the sales rep to have them review the new sales order and void the original orders.
