Sales Orders - Identifying Potential Freight Orders | 2019

This tutorial will instruct how to identify orders that may qualify for reduced shipping costs via Freight.  It includes all SOPs and process workflow across multiple departments.


Overview

This manual covers the general procedures & workflows related to identifying orders which may qualify for reduced shipping costs via the Freight shipping method.  

Any orders exceeding 325 lbs should be considered for freight!

Sales Dept:

  1. Before marking an order Ready To Fulfill, please note the TOTAL WEIGHT field located on your Sales Order form.  




    NOTE on WEB ORDERS:
    Currently, web orders will not auto-calculate this field when syncing over to NetSuite.  This is due to limitations with scripting, & will be corrected in the future.  For the time being, if the TOTAL WEIGHT field is empty: 
  • Add a PS NOTE line to the order
    [This will trigger the script to run & calculate the Total Weight. You may remove the line afterward, if you prefer]

  1. Contact Customer to verify whether or not they can receive freight shipments, and if a Lift Gate would be required.
  • Collect the customer’s contact information and ask them if they need the freight service to contact them to set up a delivery time.
  • Ask for the business hours as well
  • Include this information in the description note on the sales order and ask that the information be included on the BOL

3. Deciding which Freight Carrier to choose

  • UPS freight will often be more expensive, but they DO guarantee the delivery and pickup dates.
  • The other company we often use, Unishippers, are usually cheaper but DO NOT guarantee the delivery or pickup dates, so they could take a couple of days or a week to deliver to the customer, no way to be sure.
  • Alert the customer to this information so they can decide which delivery service suits them best.


4. If the Customer requests…

  • That we ship the order via Freight, select the following options in the Shipping tab:
  1. Shipping Carrier -- “USPS/More”
  2. Shipping Method -- “Freight” or “Freight - Lift Gate Needed”
  • A quote comparing shipping methods:
  1. Email shipping@afgdistribution.com  for a quote.  Include the SO#, the shipping methods to compare, and any other pertinent information.

5. Once a shipping method has been decided upon, mark the order Ready To Fulfill & Save.
