STEP 1:  OKTA Account Activation & Setup

  1. You will receive a “Welcome to OKTA” email in your Gmail inbox. If you have not received this email, please submit a support ticket w/ AFG IT team
  2. Open the email & click the “Activate OKTA Account” button. 
  3. On the OKTA account activation page, follow the instructions: 
  1. Enter a password using the requirements listed.  
    Note: It’s important that you choose a password that you will remember &/or stored in a password manager, as this will be your access to NetSuite!
  2. Select a “Forgotten password question” & enter your answer 
  3. OPTIONAL: If you choose, you may enter your cell phone number as a backup option for resetting a forgotten password [via SMS text message]. This step is recommended but not required. 
  4. Select a security image (if prompted)
  5. Click the “Create My Account” button 
  1. Your account is now set up & the OKTA apps page will appear. By default, NetSuite has already been linked to your account. 

  • For Windows / Chrome & Firefox users: The OKTA browser plug-in should already be installed:
  • Click on the OKTA plug-in from your browser plugin toolbar [upper right, next to browser address bar]
      
  • If prompted to Trust/Verify device, select Yes. 
  • Click on NetSuite in your App List. You will be logged in & taken to your NetSuite homepage. 
  • For Windows / Edge, IE users: submit a support ticket
  • For all Mac users: submit a support ticket


Alternately, you can log in directly to OKTA via:  https://afgdistribution.okta.com/

STEP 2:  NetSuite Account Activation & Set Up 

  1. You will receive an email from NetSuite regarding your new account, follow the link to activate the account.
  2. The setup guide will walk you through setting a secure password, security questions, etc.
    Note: Although you’ll be using OKTA’s SSO for accessing NetSuite, you should still select a unique, secure password & store in a Password Manager app.

STEP 3:  Configure NetSuite Preference

When logging into NetSuite for the first time, there are some general Preference settings you’ll want to enable.


From the main NetSuite page, hover cursor over the Dashboard Icon (small house) > click Set Preferences. 


Update the following preferences: 

  • General 
  • User Profile ***AFG: All Processors, TOI Dept, eComm Fulfillment, & any other users who “process” orders, credit memos, etc: 
  • NICKNAME = Do Not Reply 
  • FROM EMAIL ADDRESS = donotreply@afgdistribution.com 
  • SIGNATURE = leave box blank 
  • ADD SIGNATURE TO MESSAGES = leave Unchecked 

All other users:  

  • NICKNAME = First & Last Initial -or- Full name (ex. Bob S or Bob Smith) 
  • FROM EMAIL ADDRESS = your afg email addy
  • SIGNATURE =  optional
  • ADD SIGNATURE TO MESSAGES = check if adding a custom signature above
  • Formatting 
  • NUMBER FORMAT = 1,000,000.00 
  • Optimizing NetSuite 
  • DELAY LOADING OF SUBLIST = checked
  • NUMBER OF ROWS IN LIST SEGMENTS = 1,000 max, 250 or less recommended
  • MAXIMUM ENTRIES IN DROPDOWNS = 3 
  • Appearance 
  • Centers & Dashboards 
  • Show Portlet Hint = checked
  • Transactions 
  • Printing 
  • Transaction Email Attachment Format = PDF
  • Analytics 
  • Reporting 
  • REPORT BY PERIOD = Never (or Financials Only for certain accounting staff)
  • SHOW REPORTS IN GRID = checked
  • PRINT COMPANY LOGO = checked
  • DISPLAY REPORT TITLE ON SCREEN = checked
  • Search 
  • SHOW LIST WHEN ONLY ONE RESULT = checked
  • POPUP SEARCH USES KEYWORDS = checked

Click the blue Save button when finished. 






Logging Into NetSuite 


To log in to NetSuite from your workstation: 

  1. Click on the OKTA browser plug-in [small blue circle] in the upper right of your screen
  2. If prompted, enter your OKTA username & password (your username is your Gmail address, i.e. bsmith@afgdistribution.com) 
  3. Click on NetSuite in your App list
  4. You will be automatically logged in & taken to your NetSuite homepage. 


To log in to NetSuite remotely (or from a browser without the OKTA plug-in): 

  1. Go to our web UI page: https://afgdistribution.okta.com/
  2. Enter your OKTA username & password
  3. Click on the NetSuite icon in your app list
  4. You will be automatically logged into NetSuite & taken to your home dashboard.
