The following information & procedures are intended to help improve accuracy for new product imports and to share best practices for data entry when creating new products.

NetSuite Custom Lists: Matrix Options, Brands, Product Categories

General Procedures 

The following procedures will optimize the effectiveness of Matrixing products (both internally & for the customer), while minimizing errors & delays, and reducing the time it takes to import new products.

• Matrix Options / “Suffixes”:   An existing matrix option/suffix should always be used if at all possible, using the most generalized &/or similar option available.  Creating new matrix options for every possible variation manufactured is not practical, but most importantly it leads to issues on the website-end creating a poorer customer experience.
  
  Examples: 

• Product comes in 4 colors:  “Midnight Black”, “Sea Blue”, “Light Red”, “Slime Green”
  Assign Color matrix options/suffixes as:  Black (BK), Blue (BL), Red (RD), Green (GR).
• Product come in 3 flavors:  “Magical Melon Blast”, “Pineapple Ice”, “Georgia Peach”
  Assign Flavor matrix options/suffixes as:  Melon (MEL), Pineapple (PIN), Peach (PCH)
• Product comes in 3 sizes:  3” x 5”, 5” x 8”, 10” x 12”
  Assign Size matrix options/suffixes as:  Small (SM), Medium (MD, Large (LG)
  
  

• Adding New Matrix Options / “Suffixes”:  If a new matrix option is required,  please note this in the import email & include a list that accurately represents all new suffixes on an import.  ***Always double check that a similar suffix isn’t available & could be used, reference Matrix Options lists above.

• New Product Imports - Matrix items:  When sending imports that are matrix items, please separate into individual csv import files based on the following:

• Any item(s) that already have an existing Parent / Matrix group in NS, send separate from those that do not.  Please note that Parent already exists.
• Separate import files by Matrix type – i.e. okay to send any items that are Flavor/Scent together, but don’t mix Flavor items with Size & Style.  These should be separated out
• Always re-verify that all suffixes match what is listed in NS, prior to sending csv for import.

• ASAP Requests:  Please include ASAP as the first word in your Email Subject line and ensure that the above considerations have been taken.

• Errors:  If we are unsuccessful in importing a csv, we will send back a csv file with “Error” appended to the original file name, and a brief description of what needs to be corrected to move forward.  Please download this “error” file & update the appropriate cell(s) causing the errors, then return to us for import.  

Note:  there may be additional columns / cells added from the original file, these were added by us & are necessary for the import.  Please do not remove or change any column data that you’re not accustomed to entering.

CSV Import Columns

Please include the following columns & corresponding data for each item.  Columns marked with an asterisk (*) are REQUIRED:

• * SKU:  It’s important that we receive SKUs that have not been used previously.  This includes inactive items!   To double check if a SKU is in use, type the SKU into the global search bar is NS and append a “+” to the end to reveal any inactive items associated with the provided SKU.

• * Vendor:  Vendor listed on import MUST:  1) be spelled exactly as it is on the NS Vendor record  “Company Name” field, and 2) the Vendor record must be Active.  Any typos, extra “blank spaces”, abbreviated/vendor alias names, Inactive vendor records, etc will result in an error & delays.
  
  If the Vendor listed on import has no Vendor record in NS (or it is inactive), then a new one must be created (or re-activated) PRIOR to sending import.
  
  Ex:  If the Vendor is Focus, entering “Focus” into the Vendor column of csv import will result in errors.  You need to enter the exact Vendor name as listed in NS, such as “Focus Trading Intl.”
  
  
  

• * Product Categories:  Always ensure that the Subcategories you choose are available for the given Primary category.   Available product categories / subcategories can be checked via:

• NetSuite:  List of Current Product Categories
• Google Sheets:   PMT - Product Category List

Please notify us if a new Category or Subcategory needs to be added.  

• * Country of Origin:  Sometimes countries have a syntax you might not expect. While China is entered as “China”, while United States should be entered as  “US” and Canada as “CN”. 

• * Brand:   This field must contain a value, and entered exactly as listed in NS.  For items with no brand, enter:   No Brand

Please notify us when a new brand is required to be added, and we will set up in NS prior to import.

• Hazmart / ORM-D:  If a given item is hazmat or other dangerous good type, please enter one of the following options:  

• Hazmat
• ORM-D
• Lithium

This field does not accept “Yes” or “No” value.

• MOQ / Pallet Count / Case Count:  These are numerical fields, and can only contain numerical values.
  
  
• Contains _____ (CBD, Delta 8, Nicotine, etc):   Mark as either “Yes” or “No”.  
  ***IMPORTANT:  There are numerous automations & processes that rely on these fields being set correctly.  Please ensure all items are marked accurately.
