ShipHawk General Information and User Interface | 2022

This tutorial will go over general information and navigating ShipHawks user interface. 

Overview

This manual will go over general ShipHawk information along with user interface navigation.This is a quick high level tutorial. For more specific information please refer to the appropriate SOP. 



About ShipHawk and General Information

Is a Hybrid SuiteApp that provides web services integration between Netsuite and ShipHawk. The ShipHawk application will communicate the following information upon certain actions and/or schedules. 

  1. Imports item data from Netsuite, which ShipHawk treats as product skus.
  1. This is a nightly sync where Netsuite item record field values are being mapped into ShipHawk.
  2. Product sync can be manually triggered within the products tab.
  1. Imports Sales Orders, Item Fulfillments, Purchase Orders, Transfer Orders which ShipHawk treats as orders.
  1. Orders will be generated within ShipHawk upon an item fulfillment being created.
  2. Item fulfillments will come over as orders and will therefore only represent items that have been picked.
  3. If multiple item fulfillments are created from a sales order each one will have their own corresponding order within ShipHawk.
  4. If an order within ShipHawk has been deleted you can always send the information back by going into the item fulfillment and hitting edit / save. If you ever need to resync an order in ShipHawk so as to update order information you can always delete in ShipHawk then edit / save in Netsuite. This will trigger the item fulfillment to send the information back to ShipHawk. 
  1. Creates or updates Item Fulfillment records in Netsuite when orders are fulfilled / shipped within ShipHawk. 
  1. Once a shipment has been created within ShipHawk the tracking number and package specifications will be sent back to the corresponding item fulfillment and the status will change to ‘Shipped’.
  2. You can always cancel a shipment in ShipHawk so as to update information and reship. However, in order for item fulfillment to properly update tracking information you will need to set the status back to picked prior to reshipment. 
  1. Communication of shipping rates.
  1. ShipHawk will communicate shipping rates from within their rules engine so as to let customers and/or reps see specific shipping prices from within Netsuite or any of our web store platforms.
  2. ShipHawk will serve as the intermediary between Netsuite / web platforms and our integrated shipping carriers.





User Interface Navigation

ShipHawk consists of a main dashboard, four main production tabs along with an alert, settings, help and user profile options. This manual will focus on the main dashboard along with production tabs that consist of the following:


Main Dashboard

The main dashboard consists of production portlets that quickly allow you to see the following information. The dashboard can be reached by clicking on the ShipHawk logo within the top left of your screen.

  1. Total Orders - Returns the total count and revenue of orders that have been added to ShipHawk for a specific time period
  2. Total Shipment - The total count and shipping amount of shipments created in ShipHawk.
  3. Shipping Cost/ Order - Returns the average shipping amount per order.
  4. Delivery Promise - The amount of shipments that met their estimated delivery date.
  5. Shipments and Orders - KPI that compares incoming orders to outgoing shipments.
  6. Task - Summary of things that need to be completed from processing orders, reviewing exceptions, and expected deliveries. 
  7. Lanes - Origin to Destination average cost and total shipments.
  8. Performance - Carrier averages and shipments.
  9. Top Carriers - Top used carriers. 


Orders

The ‘Orders’ tab is your starting point for all shipments. Once an item fulfillment is created the information is then sent to ShipHawk. The order tab consists of the following tools that will allow you to view orders and/or check status.

  1. Status - Allows for order grouping and identification based on the status of an order. All orders begin with a status of ‘New’.
  2. Actions - Allows you to create manual orders that will not sync with NetSuite.
  3. Refresh - Allows for regeneration of list. Will need to be done prior to each search.
  4. Search Bar and Filter - Allows a user to enter a sales order, item fulfillment, or tote number to locate their specific item fulfillment. You can also specify the type of orders you want returned by selecting any filter options that apply. Additionally you can click on the three dot icon next to the search bar to return orders based on references. Examples of a reference would associate skus, departments, RTF date, etc.
  5. Display Options - Determines how you want information returned within the orders lists. There are four main types that quickly allow you to set those values. However you do have the option to create a custom view by adding or removing values. You can also drag and drop each column so as to have the correct left to right visual presentation. 


Shipments

The ‘Shipment’ tab consists of all orders that have been processed from an order to a proposed shipment to a label generated shipment. It Is the end point for all orders. Once a shipment is created the tracking number is sent back to the corresponding item fulfillment. The ‘Shipment’ tab consists of the following tools and options.

  1. Status - Allows for shipment grouping and identification based on the status of a shipment. All shipments begin with a status of ‘New’ and follow /  updates upon carrier actions.
  2. Actions -  Allows you to create manual shipments that will not sync with NetSuite.
  3. Refresh - Allows for regeneration of list. Will need to be done prior to each search.
  4. Search Bar and Filter - Allows a user to enter a sales order, item fulfillment, tote number, or shipment to locate their specific item fulfillment and shipping details. You can also specify the type of shipments you want returned by selecting any filter options that apply. Additionally you can click on the three dot icon next to the search bar to return shipments based on references. Examples of a reference would associate skus, departments, RTF date, etc.
  5. Display Options - Determines how you want information returned within the shipments lists. There are four main types that quickly allow you to set those values. Products

The products tab is a catalog of all Netsuite item, kit, and non-inventory items that have been marked fulfillable within the item record. From within this tab you will be able to search and/or verify product information. If an order has trouble using ‘Smart Pack’ or rating a specific package it is most likely due to the product information not being correct. The product tab consists of the following tools and resources. Specific product navigation and Smart Pack can be found in ‘ShipHawk Product Catalog’ SOP.


  1. Product Status - Will allow you to quickly see items that have missing information and require your attention. This is typically due to missing weight and/or dimensions. If not updated it will have an impact on future order / shipments.
  2. Actions - Will allow you to manually create / import products. Export products from ShipHawk catalog or Netsuite integration. You can also download a CSV template on how to format information when importing.
  3. Refresh - Allows for regeneration of list. Will need to be done prior to each search.
  4. Search Bar - Will allow you to return specific item(s) of your choosing. 
  5. Display Options - Not as robust as the orders / shipment option but does allow you to add or remove certain columns from within your product list.
  6. Can Rate - A specific column within the product list that will allow you to see if an item has an associated weight and therefore can generate an accurate shipping rate when ordered.
     



Reports

The reports tab allows you to select a specific time period and return order / shipment specific details via CSV. The tab consists of the following.

  1. Status - Will allow you to monitor the status of your generated report.


  2. Action - Will allow you to manually create a report by specifying date and shipment / order criteria.
     
  3. Refresh - Allows for regeneration of list. Will need to be done prior to each search.
  4. Search Bar - Will allow you to return specific reports by name
  5. Display Options - Not as robust as the orders, shipment, product options but does allow you to add or remove certain columns from within your product list.
