Overview
This tutorial will cover NetSuite’s StickNotes feature and it’s various uses, including sharing relevant or urgent information related to a particular record (transaction, customer, etc), alerting other staff & communicating between depts, temporary notes related to the record, as well as creating reminders for yourself
Requirements
- A NetSuite account & Role with access to StickyNotes
Initial Setup & General Info
StickyNotes will already be configured for your account, however we recommend you review their Help Topics to learn about this feature (<5mins to read). From any NS record (customer, transaction, etc):
- Click on the StickNotes dropdown > select Help
- Read through each of the Topic popup windows
General information regarding StickyNotes:
- StickyNotes are great for communicating with other staff members if you have a question or issue that needs resolved with a specific record, such as a Customer record or Transaction (SO, Invoice, etc). Think of it as an alternative to Skype messages or emails.
However it should NOT be used for information that needs to be stored on a record indefinitely or accessible to all, i.e. important account info, tax documents, etc. These should still be included via the Communication > Files or User Notes tabs - StickyNotes are:
- Color coded based on “priority level” : Red = High priority , Yellow = Normal priority , Green = Low priority.
- Can be used on any record in NetSuite (currently only enabled on Customer & SO/Invoice transactions)
- On a record, page, Notes can be “moved” around on the screen using click&drag.
- “Hide notes” on a record when needed, and then “Show notes” to make them reappear.
- Unless you select the “Public" checkbox when creating a note, only you and those you add as a Recipient will be able to see the note.
- There are multiple ways to manage, view & reply to StickyNotes that you have created or are included on:
- Directly from the record, such as a Customer page or Sales Order
- Using the StickNotes Board
- Emailed alerts
Using StickyNotes
StickNotes Board
The StickyNotes Board helps you monitor & manage your notes in an organized and easily searchable layout. Add the URL below to your Shortcuts for quick access, and refresh page throughout day for updates:

You may also navigate to your SN Board using one of the following menu paths (depending on your NS Role):
Lists > Productivity > StickyNotes Board
Customers > Other Lists > StickyNotes Board Suitelet
Vendors > Other > StickyNotes Board Suitelet
The StickyNotes Board is fully customizable & searchable. Choose between Grid and List Views, Sort By various criteria, and/or use Filters to locate a specific note or review multiple notes more efficiently. The Search box can be used to locate notes that include a certain employee, or specific keywords within a note/reply.


To view all notes you have previously archived, click the “VIEW ARCHIVED NOTES” button in top right corner

You can view a full Note stack & reply to Notes directly from the Board. Click on a Note to see it & any replies.

To reply to a note, click the Actions dropdown > select Reply:
Note: Icons on the note indicate if the note is public (unlocked) or private (locked), if the note has replies (blue reply icon), or file attachments (paperclip).

Adding A New Note to a Record
To add a note to a record page:
- Open the record page where you want to add a note.
- From the StickyNotes Toolbar, click on any of the note icons to create a new note.

Alternatively, you can also add a note to specific fields. Point to the field label and, on the tooltip that appears, select the note that you want to create. Field-level notes will be displayed below the field where it is currently attached. If the field is hidden, the note will be displayed on the upper right portion of the page.

- A new note window appears. To add the note to a field or record page, do the following:

- In the To field, you can enter Recipient name(s) to make the note visible to specific people or leave the field blank to make the note visible only to you.
Recipients will receive an email notification when they are tagged in a new note and when replies are posted on the note.
Note: Auto-complete suggestions will appear when you type partial characters of the first or last name. - To remove a recipient, point to the recipient’s name, and then click the delete icon that appears.
- Click the Public box to make the note visible to everyone with access to the record. NOTE: no other staff will be “notified” or see on their Board, unless they’re added as a Recipient. If you intend on a specific person(s) responding, you should also add them as a Recipient.
- Type your message in the space provided.
- To add file attachments, drag and drop a file to the note.
- Click Save to attach the note to the record.
Replying to a Note
You can reply to a note one of three ways:
- From the note on the record page
- Replying to the Email notification
- From note on the StickyNotes Board
To reply to a note on a record page:
- Open the record where the note is attached.
- Point to the note to display the Actions menu, and then click Reply.
- Type your message on the space provided.
- If you want to attach files to your reply, drag and drop a file to the note.
- Click Save to add your reply.
Email Alerts
You will receive an email notification for new notes if added as a recipient. You’ll also receive an email notification for any replies added to notes if you are the note author, recipient, or you have previously replied to the note.
Note: Supported email applications only include iMail (on Mac and mobile), Outlook, and Gmail.

Archiving & Deleting Notes
***NEVER DELETE A NOTE***
Once deleted, it is gone…for good.
When a note is no longer relevant &/or “completed”, simply Archive the note. This “hides” it from the record page & active notes on your StickyNotes Board, but is still accessible from the Archived Notes section of your Board:
- Open the record page where the note is attached.
- Point to the note to display the Actions menu
- Click Archive Note from the Action menu.
NOTE: You can only Archive notes that you created, others tagged on Note may not Archive.
To View previously Archived notes:
- Go to your StickyNotes Board
- Click View Archived Notes in upper right corner to show previously archived notes.
Customizing StickyNotes from Record Pages
To customize notes from the record page:
- Open any record page where StickyNotes is enabled.
- From the StickyNotes Toolbar, click or point to the StickyNotes dropdown menu, and then select Preferences.

You can also set your preferred font and note size from Setup > Customization > StickyNotes Setup. - In the StickyNotes Preference window, you can do the following:
- Change the colors for high, medium, and low priority notes by choosing from predefined color sets or by entering the hexadecimal color value.
- Set the font and note size.
- Click Reset to Default to restore the default StickyNotes preferences defined by your administrator.
- Check the Hide Notes box to hide notes across record pages. When this setting is enabled, a pop-up alert will notify you about the hidden notes the next time you load the record page.
- Click Save.
